Office and Administrative Assistant

 We are looking for an outgoing individual, with a positive attitude, great communication skills, flexibility, exceptional organizational skills and lots of initiative to ensure all office activities and logistics run smoothly.

The Office & Administrative Assistant creates a positive tone in our workplace as the central point of contact for incoming calls, customers, visitors and staff while juggling a wide range of tasks which will vary from day to day.  We’d like an individual who is friendly and professional, but also relaxed and able to keep a sense of humor in our fun, fast-paced office environment.

Responsibilities:

Office Management

  • Greet visitors, answer incoming phone calls and direct calls to appropriate team member
  • Maintain the office equipment environment and serve as the go-to person for operation and repair (i.e. copier, postage meter, phones, computers, servers etc.)
  • Serve as the primary office contact for building management
  • IT services coordination for internet, phone and hardware services
  • Maintain cost efficient and timely ordering processes for office and break room/kitchen supplies
  • Caretaker of the office Kitchen/Break Room and conference rooms
  • Coordinate activities for company meetings and employee events
  • Work with managers on space planning/furniture needs and work station preparation for new hires

Administrative Support

  • Website maintenance (staff web page)
  • Retrieve company mail and distribute daily
  • Copy, file and mail company documents
  • Coordinate administrative, errand assistance, travel arrangements and expense reporting for CEO
  • Other job duties as required

Qualifications:

  • Minimum 2 years office management/facilities experience
  • Ability to manage and meet schedule deadlines
  • Strong computer skills (MS Word, Excel, Outlook )
  • Valid driver license, clean driving record and reliable transportation for running errands
  • Ability to lift up to 30 pounds unassisted
  • Strong work ethic with the ability to multi-task while working in a fast-paced environment
  • Experience working with non-profit organizations, a plus
